The Diaverum Group, including its subsidiaries, is committed to respecting your privacy and complying with applicable data privacy laws. This Privacy Notice informs you about how Diaverum handles personal data it collects about you in connection with Diaverum’s recruitment and onboarding activities.
Who we are – the data controller
Depending on which country you apply for a job in, the controller of your personal data differs. The controller is responsible for making sure that your Personal Data is processed correctly and in accordance with applicable laws. In addition to this, each country has appointed a Data Protection Officer/responsible (DPO). In the list at the end of this privacy notice you can find out who the data controller is and the email address to the DPO for each country.
The data that Diaverum processes:
Diaverum collects and processes various types of personal data, including but not limited to, depending on the specific requirements for the various roles:
- Personal details:
- contact details (e.g. name, address, phone number, and email address)
- demographic data (e.g. gender, age, language and citizenship).
- Recruitment information
- your application and resume
- interview information, video interviews,
- references from previous employers and other third-party references
- information about your competencies, qualifications, skills, work experience, and education.
- For the purpose of entering into a possible employment contract, we may also collect results of the necessary health, drug, background, psychometric, and aptitude tests and credit checks depending on the position for which you are applying, and where necessary for the recruitment activities.
- Identification information
- proof of identity
- your national identity number.
- Online data & identifiers
- data that is collected with cookies or similar technologies about your use of services, including your IP address, cookie ID and mobile device ID.
- Authentication information
- username and password for the recruitment platform,
- details for authenticating and securing our services such as login details and security logs.
How Diaverum collects the data:
The personal data we process comes from different sources:
- Directly from you: when you create an account in our recruitment portal, submit us your application or resume or when you otherwise interact with us.
- Third parties: such as recruitment agencies, your references and previous employers, medical or health check providers and authorities or other parties providing background and credit checks. We will obtain your consent for such collection when required by applicable law.
- Diaverum Group companies: we share information for purposes mentioned below in section “Who can access your personal data”.
Legal bases and purposes for the processing
We will use your personal data for predefined purposes based on valid legal bases, including legitimate interest, legal obligation, and for the performance and entering into an agreement with you. Informed consent may be used, if/when you allow us to use your personal data for future recruitments.
These are the main purposes for the processing of the personal data:
- Recruitment and resourcing: We use your personal data to contact you, for instance, to inform you about the status of your application or to obtain additional information. We also use your personal data to set up and conduct interviews and assessments, evaluations, reference, credit and background checks as permitted by applicable law.
- Creating an employee record: If Diaverum hires you, the personal data you have given during the application process may become part of your employee record and be used to manage your career at Diaverum.
- Service development and analytics: We may use your personal data to improve and develop our recruitment processes and other related services, and to create analytics. Our absolute goal is to use de-identified/pseudonymized data as much as possible.
- Security of our services and others: Personal data is used for ensuring the information security of our services, for example, by keeping access logs and system backups, authenticating users, and preventing attacks.
- Legal obligations: We process personal data to comply with accounting and tax laws.
- Informed consent: If you consent to it, we may also keep and use your personal data for a longer period of time, two years or until you withdraw your consent, to be able to consider you for future recruitments.
Automated decision-making and profiling
When we use automated decision-making with legal or similarly significant effects on you, we will inform you in advance. If an advertised job e.g. requires a specific license, the applications without this specific license are automatically filtered out, but reviewed manually by the recruiter.
How long we keep the data
Diaverum deletes or anonymizes personal data when it is no longer necessary for the purposes it was collected for and as long as permitted or required under local law. This means that your Personal Data will be stored after the recruitment process is finished according to the chart below:

- Data will be stored in a range of different access controlled places, including the HR people management system and on other dedicated IT systems.
- If Diaverum hires you, your personal data may become part of your employee record with its specific retention periods.
Who can access your personal data
- We have implemented appropriate technical and organisational measures to protect your Personal Data against loss, unlawful access, etc. This includes a strong and dedicated focus on cyber security and awareness programs, where we engage our employees in privacy and security considerations.
- The number of persons with access to your Personal Data is limited. Only individuals associated with the Diaverum Group that need to process your Personal Data in accordance with the purposes above will have access to your Personal Data.
- We will share your Personal Data with companies within the Diaverum Group, for the purpose of recruitment that is supported centrally and if the position is based abroad, to the extent permitted by applicable law. We will also share your Personal Data with suppliers and partners that carry out services on our behalf such as Personality assessment companies and Pension providers. These third parties are not allowed to use the personal data for any other purpose than provided in this privacy notice.
- Your Personal Data could, depending on if the position is based abroad, be transferred to a country outside of EU/EEA which may have a lower level of protection than within the EU/EEA. The transfer is based on the necessity of such processing to conclude an employment agreement with you, in the event you are offered employment, and is needed to share the information with a Diaverum entity where the position will be based. When transferring Personal Data to a third party in countries outside the EU/EEA, we use standard contractual clauses approved by the European Commission to ensure a sufficient level of protection for your Personal Data. - Subcontractors – We use subcontractors to provide services. Such subcontractors may have access to your personal information and are processing it on our behalf but are not allowed to use the personal data for any other purpose than to provide the service agreed with us. We ensure through appropriate contractual arrangements that the processing of personal data is in accordance with this notice. Typical service providers that process personal data include for example recruitment agencies and IT software & service providers.
- Mergers and acquisitions – Where Diaverum decides to sell, or merge or otherwise reorganize its businesses, this may involve disclosing personal data to prospective or actual purchasers and their advisers.
- Authorities, legal proceedings and law – We will disclose your data to competent authorities, such as the police, to the extent required by law. We may also disclose your personal data in relation to legal proceedings or at the request of an authority on the basis of applicable law or court order or in connection with a trial or authority process or as otherwise required or permitted by law.
Cookies
When you use our services, Diaverum can collect data about your devices using cookies and other similar technologies. The website may also include cookies and similar technologies from third parties. You can get more information and learn how to manage cookies by reading our cookie policy.
Your rights (and how to exercise them)
- You are entitled to know what Personal Data we are processing regarding you, and you can request a copy of such data.
- You are entitled to have incorrect Personal Data regarding you corrected, and in some cases you may request that we delete your Personal Data (if, for example, the Personal Data is no longer necessary since the recruitment process has been completed).
- If you have given your consent to processing of your personal data for an explicit purpose you may always withdraw your consent. If you want to withdraw your consent, you are able to do this by logging in to your account on the Diaverum recruitment platform and adjust the setting or completely delete your account.
- You also have the right to object to certain processing of your Personal Data, and request that the processing of your Personal Data be limited. Please note that limitation or deletion of your Personal Data may result in us not being able to include you in the recruitment process.
- You are also entitled to extract your Personal Data in a machine-readable format and to transfer the Personal Data to another controller.
If you have questions regarding how we process Personal Data concerning you, you are most welcome to contact us using the information listed below, either by phone, mail, or e-mail.
Your privacy is very important to us and we will always strive to protect and secure your personal information in the best possible way. If, in your opinion, we fail to do so, you have the right to file a complaint with the Data Protection Authority of your choice, e.g. one of the EU authorities, https://edpb.europa.eu/about-edpb/about-edpb/members_en.
Changes
If changes are made to this privacy notice or concerning the processing of your Personal Data, we will inform you by publishing an updated version of this privacy notice on our recruitment platform. You will have to read and accept these changes to keep your account and continue using the Platform. Material changes, e.g. introducing new purposes of processing, will be notified directly to you by email where you will be able to give your consent to the changes, or to withdraw your consent.
